Registration Package

Complimentary booth with one (1) 8-foot tables. Feel free to bring additional tables if needed, but you will be limited to your assigned space.

Participants are expected to have their booth completely set up no later than 6:30 PM and be ready to serve by 7:00 PM. Participants are not permitted to take down their booth prior to 10:00 PM. (Times may be adjusted, if so, you will be notified by June 14, 2024)

Booth signage with QR code to the company website and voting poll will be provided by FBX team.
**Power sources are limited. If a power source is needed, please make your request known by no later than May 31, 2024**

What You Need To Know

Participants are encouraged to provide promotional materials for distribution during the event.

Participants are asked to donate at least one door prize (to be given out during the Florida Black Excellence Fest) to further promote your business.

Provide your menu no later than May 31, 2024

A minimum of 600 - 800 servings of at least 2 oz. portion of a featured menu item. (The number of servings may increase)

Vendor staff to prepare and serve food (NO OPEN FLAME OR GAS ALLOWED)

No propane cooking will be allowed on site during the event. Vendors responsible for bringing their own refrigeration and/or warming units for food safety.

All vendors must provide your own equipment, serving utensils, chafing dishes, etc. (no disposable aluminum pans, please), water and ice required to prep, hold and serve food.

All vendors must provide linen for one (1) table, small plates, napkins, forks and spoons for a minimum of 600-800 servings of at least 2 oz. portion of a featured menu item. Please provide the holder for your forks, spoons, napkins, etc. (The number of servings may increase)

Delivery and pick up of all equipment as well as trash removal is the vendor's responsibility and must be within the time guidelines of the host venue.

Vendor agrees to indemnify and hold harmless Florida Black Excellence Fest, The Pollock Group and its vendors, from any and all liability for damages, injury or loss to any person or goods. The vendor is solely responsible for his/her booth space and booth operation.
Terms & Conditions
1. Vendors will need to bring your event permit, hand washing station and Certificate of Liability.
2. Vendor agrees to:
a. move in and set-up no earlier than 4:00 pm and be completely set up by 6:30 pm on Friday, June 21, 2024
b. booth staffed during the event time from 7:00 pm -10:00 pm on Friday, June 21, 2024
c. break down display on Friday, June 21, 2024 beginning no earlier than 10:00 pm and be completely done by 12:00 pm.
d. The Florida Black Excellence Fest agrees to provide a designated area for vendors. Vendors agree to display only signs within their designated booth
space. The Florida Black Excellence Fest may immediately remove any non-conforming or inappropriate signage.
3. The Florida Black Excellence Fest shall have no responsibility or liability of any kind for any loss or damage of any kind from any cause to the business or property or merchandise. All expenses of any kind in connection with transporting, packing, unpacking and insuring property or merchandise shall be borne by the business owner. The Florida Black Excellence Fest shall have no responsibility to insure property or merchandise against losses, claims or liabilities of any kind whatsoever. Vendor shall submit a Certificate of Liability with this form.
4. Promotion and display of products must be confined to the business space provided. Display areas may not extend elsewhere under any circumstance. Vendors shall not play any music or recordings of any sort, and shall not make any sounds or noises, which in sole judgment of the Florida Black Excellence Fest could disturb or annoy other businesses or those attending the event. Vendor agrees to abide by any other reasonable requests made by Florida Black Excellence Fest.
5. If a cancellation of the event is needed for any reason, The Florida Black Excellence Fest will contact all vendors 10 days prior to the event.
